Traffic Management & Documentation â" Marketing Specialist II Provides overall visibility on the status of active Marketing projects moving through the stages of briefing, funding/approval, creative development, production, and delivery to the marketplace. Works closely with all Marketing teams to monitor, track, and update the status of a broad spectrum of sales promotion, direct marketing, and creative materials produced by Marketing. These Traffic Management and documentation responsibilities include several critical content review steps and quality assurance practices including:
- Monitors and reports on the status of projects from the time they are opened through the time they are closed and completed, producing a detailed weekly status report for Marketing team review and collaborating closely with team members to reflect the latest status changes for each Marketing job.
- Initiates and facilitates legal and compliance approvals for all customer-facing materials produced by Marketing, communicating content revisions using Proof HQ routing and approval tool, and securing final legal and compliance approval for materials before they are released to production and appear in the market.
- Tracks revisions to documents and creative materials to ensure the correct, most up to date version is ultimately delivered to the appropriate Marketing contact for production and implementation in the market.
- Applies systematic quality control review actions that scan for proper grammar, spelling, legal and compliance disclosures, permissions/releases/ licensing agreements, approval of the Branding team, and approvals of all required Marketing and/or Business Segment leaders.
- Creates and maintains a reference database of disclosures and mandatory legal elements used in recent documents and marketing content, referencing the appropriate legal and compliance officers associated with developing the statement or policy, and identifies the product category or offer type that requires specific disclosures.
- Maintains a comprehensive database cataloging activity associated with all Marketing materials including the Marketing Brief, Job Start Form and job number, traffic report milestone dates, final legal and compliance approvals for Marketing materials released for production, and final images of the âas producedâ materials.
- Audits workflow periodically for potential efficiencies and improvements, embraces learning opportunities if an error occurs and forensically audits the process to identify the cause for the error and pro-actively implements corrective measures to avert a repeated outcome.
- Initiates translations of documents and creative content as needed, including identifying and managing outside vendors, competitive bidding larger jobs before awarding them, coordinating with internal and external legal counsel reviewing translations.
Required Qualifications 3+ years experience in Marketing Services or Creative Services in a Traffic Management or Project Management role, preferably within a financial services company. Demonstrates excellence and passion for accuracy and managing details; very organized and consistently adheres to clearly defined processes; demonstrates ability to develop new or improve existing processes to gain efficiencies. Demonstrates strong written and oral communication skills and interpersonal communication skills; interacts effectively across multiple levels of the organization and various departments. Well developed skills using the following software tools: Microsoft Word, Excel, PowerPoint, and Access, with aptitude and ability to learn new software programs related to project management and reporting practices. Bi-lingual in English and Spanish Capable of checking accuracy of content and/or identifying trusted team members to conduct content quality control steps (spelling, grammar, punctuation). Comfortable and effective working with internal (and if necessary, external legal counsel) for detailed content review and adoption of required language for complete and consistent legal and compliance practices. Demonstrated teamwork and collaboration abilities, supports internal Marketing team members and stakeholders with required information, content, and access to online tools. Bachelorâs degree required, preferably in Marketing or related fields: advanced degree is a plus. For a grade 18: Five+ years experience in Marketing Services or Creative Services in a Traffic Management or Project Management role, preferably within a financial services company. Must possess the knoweldge and ability to be an advocate of the creative solution and articulate rational when discussing feedback from attorneys or comliance officers.
