PANGEATWO is assisting a client looking for a strong Administrative Assistant to support their legal department.

Job ! Description:
Provide administrative support to attorneys and paralegals in the Legal Department in a variety of capacities including, but not limited to, telephone coverage, mail handling, processing of letters/correspondence, events/meeting planning, report generation, agendas/meeting minutes, invoice/expense reporting, database management and assisting with completion of specially assigned projects.

Job Duties:
Assist department attorneys in the management of their schedules utilizing MS Outlook.

Anticipate and prepare materials needed for conferences, appointments, meetings, telephone calls, etc.

Handle telephone calls for department from both internal and external sources. Take messages or field/answer all routine and non-routine questions. Return phone calls where applicable.

Type and design general correspondence, memos, charts, tables, forms, policies, etc.

Draft, revise and accurately proof, per verbal ! and written instruction and tape recorded dictation, complex l! egal documents, leases, contracts and correspondence.

Arrange travel plans, itineraries and compile documents for company-related meetings.

Compose and prepare confidential correspondence, reports and other complex documents.

Prepare and submit expense reports and process/code monthly invoices.

Job Requirements:
Prefer minimum of 5 years of experience as an administrative assistant, light legal secretary or legal assistant. Real estate experience a plus.

Must have high level of interpersonal skills to handle sensitive and confidential situations.

Must be able to maintain the highest level of confidentiality. Ability to handle sensitive material concerning the organization.

Must be able to interact and communicate with individuals at all levels of the organization and to represent the department in a highly professional manner.

Knowledge of administrative and clerical procedures and systems su! ch as Microsoft Outlook, Excel, PowerPoint, managing files and records, designing forms, and general office procedures and processes.

Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines, note taking and transcription abilities.
