The purpose of this classification is to provide administrative and secretarial support for the staff of the assigned department(s).

The following duties are normal! for this classification. Examples of Duties:
Administrative and Secretarial Duties:

  • Composes, transcribes, edits, and types correspondence
  • Completes standard administrative forms, schedules, spreadsheets, activity reports, accounting reports and documents pertaining to department operations
  • Prepares payroll documents and turns in as required for payroll processing
  • Enters and monitors leave time and leave requests
  • Issues purchase orders and tracks administrative expenses
  • Assist with budget preparation
  • Prepares First Report! s of Injury and Accident Reports including all appropriate doc! umentation and forwards to appropriate staff
Communication:
  • Greets visitors, answers telephone calls, routing calls appropriately
  • Responds to emails
  • Responds to citizen concerns and forwards information to the appropriate staff for resolution
  • Gather and prepare items for employee newsletter, web pages, and media outlets as directed
  • Serves as liaison between employees and Human Resources regarding leave time, worker's compensation, FMLA, and other issues
Records Management:
  • Researches contracts, bids, deeds, easements, and work associated with projects as directed
  • Composes and coordinates bid information as directed
  • Monitors grant proceeds and other reimbursements as directed
  • Maintains files relating to projects and contracts
  • Generates monthly reports of departmental activities
  • Periodically purges files of dated and unnecessary materi! al as directed
  • Tracks employee Performance Appraisals and assures completion in a timely manner
Supplies and Inventory Management:
  • Maintains inventories of departmental property including office supplies and equipment
  • Serves as contact and coordinator of rental uniforms for Public Works employees
  • Assures that computers, time clocks, and phones are operational and reports issues to the appropriate staff
  • Assures that software programs utilized by the department are operations and reports issues to the appropriate staff
Public Relations and Other Related Duties:
  • Monitors daily computer backup procedures
  • Maintains general appearance of work area
  • Serves as liaison to other departments
  • Performs other related duties as required
Typical Qualifications:
Minimum Qualifications
  • Must be U. S. Citizen
  • Must have High Scho! ol Diploma or GED.
  • Must have valid Alabama Drivers' License
  • Must submit to pre-employment drug testing
  • Must accomplish the essential functions of the job, with or without reasonable accommodations, in a timely manner
  • Must be able to maintain good interpersonal relationships with co-workers, managers, other City employees and vendors
  • Must meet regular attendance requirements
Typical Qualifications
  • Willing to travel as required or occasionally for education and certification opportunities.
  • Willing to work overtime and on-call as required.
